Love Love Racquet Club reserves the right to place participants into the sessions, classes, groups, or programs that are most appropriate based upon factors including, but not limited to:
Age
Ability
Playing experience
Physical capability
Safety
Behavior
Overall suitability
Where reasonably necessary, the Club may:
recommend a different class or program;
move participants between groups;
refuse participation in a specific class or event; or
remove a participant whose behavior or participation negatively affects the safety, learning environment, or experience of others.
These decisions are made at the reasonable discretion of Love Love Racquet Club and are intended to provide the best possible experience for all participants.
3. Behavior, Conduct & Sportsmanship
Love Love Racquet Club is committed to maintaining a positive, welcoming, and respectful environment.
Participants, parents, spectators, coaches, and visitors are expected to:
treat others with courtesy and respect;
demonstrate good sportsmanship;

threatening behavior
aggressive conduct
repeated disruption
unsafe behavior
damage to Club property
Love Love Racquet Club reserves the right to issue warnings, remove individuals from activities, suspend memberships, or terminate participation when reasonably necessary to protect participants and staff.
4. Collection of Children
Parents or guardians are responsible for ensuring children are dropped off and collected at the scheduled times.
Our responsibility begins at the scheduled start time of a class, lesson, camp, or event and ends at its scheduled conclusion.
Children may only leave unaccompanied when prior written permission has been provided by a parent or guardian.
Repeated late collections may result in additional collection fees and/or further action at the Club's discretion.
5. Program, Schedule, Venue & Coach Changes
Love Love Racquet Club reserves the right to make reasonable operational changes whenever necessary.
These changes may include:
coaches
class times
program schedules
lesson formats
court assignments
venues
group structures
Such changes may occur because of staffing requirements, operational needs, weather, court availability, participant numbers, safety considerations, or other unforeseen circumstances.
Whenever reasonably possible, participants will be notified in advance.
6. Photography & Video Consent
Photographs and videos may occasionally be taken during classes, camps, competitions, and Club activities.
Images and videos may be used for:
coaching purposes
promotional materials
social media
marketing
safeguarding
operational purposes
By participating in Club activities, participants (or parents/guardians) consent to the reasonable use of such media unless written notice requesting exclusion has been provided before participation.
7. No-Shows Policy
Participants are expected to attend all scheduled sessions, lessons, camps, competitions, and other booked activities.
If a participant fails to attend a booked session without providing advance notice, the booking is forfeited.
Should the participant later wish to attend another session, they may book another available session through the Club's booking platform, subject to availability.
Repeated no-shows may result in restrictions on future bookings or other reasonable operational action at the discretion of Love Love Racquet Club.
8. Late Cancellations Policy
Participants are expected to provide reasonable notice whenever they need to cancel or reschedule a booking.
A late cancellation or reschedule request is defined as any cancellation made less than twenty-four (24) hours before the scheduled start time.
Late cancellations result in the booked session being forfeited.
If requested, Love Love Racquet Club may allow the participant to book another available session, subject to availability and the Club's operational discretion.
Any replacement session remains subject to available space and does not guarantee a specific coach, class, or time.
9. Weather Policy
Love Love Racquet Club believes that tennis and racquet sports can often continue safely in varying weather conditions and therefore aims to hold scheduled sessions whenever reasonably possible.
Wet courts or changing weather conditions do not automatically result in cancellation. Coaches may modify activities to ensure participant safety while continuing instruction whenever practical.
The coach assigned to the session is responsible for determining whether playing conditions are safe and suitable.
Weather decisions may be made at any point up until the scheduled start time.
Where severe weather makes cancellation obvious in advance—such as heavy rainfall with a forecast indicating continued unsafe conditions—the Club will make reasonable efforts to notify participants approximately one hour before the scheduled session.
Weather notifications are sent primarily via text message.
Cancellation of one class or session does not automatically mean later sessions on the same day will also be canceled.
Where Love Love Racquet Club cancels a session due to weather, participants will generally be permitted to book into another available session in accordance with the applicable program policies.
10. Disruptions & Cancellations
Love Love Racquet Club reserves the right to postpone, relocate, modify, or cancel any class, lesson, camp, competition, event, or other service where reasonably necessary.
This may occur due to circumstances including, but not limited to:
Weather or unsafe court conditions
Coach illness or unavailability
Facility or venue issues
Safety concerns
Operational requirements
Low enrollment
Other unforeseen circumstances
Whenever reasonably possible, participants will be notified of significant changes in advance.
Where the Club cancels a service, any replacement sessions, credits, refunds, or transfers will be handled in accordance with the applicable policies for that program or membership.
11. Safeguarding
Love Love Racquet Club is committed to providing a safe, welcoming, and inclusive environment for every participant.
The welfare of children and vulnerable individuals is our highest priority.
Participants, parents, guardians, coaches, volunteers, and visitors are expected to comply with all safeguarding procedures and any reasonable instructions issued by Club staff.
Any safeguarding concerns should be reported to the Club as soon as reasonably possible so they may be addressed appropriately.
12. Medical Responsibility
Participants and, where applicable, parents or guardians are responsible for providing accurate and up-to-date:
Medical information
Emergency contact information
Allergy information
Relevant injuries or medical conditions
Participants must notify the Club of any significant changes to their medical condition before participating.
By participating in Club activities, participants confirm they are medically fit to take part unless otherwise agreed with Love Love Racquet Club.
The Club relies upon the information provided and cannot assume responsibility for undisclosed medical conditions.
13. Liability & Assumption of Risk
Participation in tennis and other racquet sports involves inherent physical risks that cannot be completely eliminated, even when reasonable care is taken by participants and coaches.
These risks may include, but are not limited to:
Slips, trips, and falls
Being struck by tennis balls, racquets, or other equipment
Collisions with other participants or fixed objects
Muscle strains, sprains, and overuse injuries
Injuries resulting from weather or changing court conditions
Other injuries that may occur during physical activity
By participating in any class, lesson, membership, holiday camp, competition, event, or other activity provided by Love Love Racquet Club, participants voluntarily acknowledge and accept these inherent risks.
Participants are responsible for:
Ensuring they are medically fit to participate;
Following all coach instructions and Club rules;
Using equipment appropriately;
Wearing suitable clothing and court-appropriate footwear; and
Exercising reasonable care for their own safety and the safety of others.
Parents and guardians are responsible for determining whether their child is physically capable of safely participating and for notifying the Club of any medical conditions, injuries, allergies, or other circumstances that may affect participation.
To the fullest extent permitted by applicable law, Love Love Racquet Club, its owners, employees, coaches, contractors, and volunteers shall not be liable for any injury, illness, loss, damage, or expense arising from participation in Club activities except where such liability results from the Club's negligence or any other liability that cannot legally be excluded.
Nothing in these Terms excludes or limits any rights or protections that participants are entitled to under applicable law.
14. Complaints & Dispute Resolution
Love Love Racquet Club values open communication and encourages concerns to be raised promptly.
Whenever possible, participants or parents should first discuss concerns directly with the relevant coach or Club representative.
If a matter cannot be resolved informally, complaints should be submitted in writing to:
The Club will review the matter fairly, investigate where appropriate, and take reasonable steps toward resolution.

SECTION 3 — PAYMENT TERMS
21. Payments
All fees must be paid according to the payment terms established for the relevant service.
Love Love Racquet Club primarily accepts payment through Stripe.
Depending on the service, payments may be collected:
At the time of booking
Through recurring monthly membership billing
Through invoices issued by the Club
Failure to make payment may result in suspension of bookings, memberships, lessons, or participation until outstanding balances have been resolved.
22. Refunds
Unless specifically stated within an individual program policy, refunds are not automatically provided for:
Missed classes
Missed lessons
Participant no-shows
Late cancellations
Unused bookings
Voluntary withdrawals
Refund eligibility will be determined according to the applicable program policy described later in this Rulebook.
23. Credits
Where applicable, Love Love Racquet Club may issue account credits instead of refunds.
Credits:
May only be used for eligible Club services.
Are subject to any expiration dates communicated at the time they are issued.
Have no cash value unless otherwise required by law.
Issuing a credit remains at the reasonable discretion of the Club where the applicable policy allows.
24. Failed or Missed Payments
Participants are responsible for maintaining valid payment information for recurring memberships and other automated billing arrangements.
If a scheduled payment fails:
Love Love Racquet Club will issue an invoice for the outstanding balance.
Payment is expected by the end of the same calendar day.
Outstanding balances may result in suspension of memberships, lessons, bookings, or participation until payment has been received.
Repeated failed payments may result in cancellation of memberships or booking privileges at the Club's discretion.
25. Membership Overview
Love Love Racquet Club offers recurring monthly memberships that provide participants with access to weekly classes based on their selected membership.
Memberships are designed to provide consistent training opportunities throughout the year while simplifying monthly billing.
Memberships are personal to the registered participant and may not be transferred to another individual.
26. Membership Billing
Memberships are billed monthly through automatic recurring payments using Stripe.
By enrolling in a membership, participants authorize Love Love Racquet Club to automatically charge the payment method on file each month until the membership is canceled in accordance with these Terms.
Participants are responsible for ensuring that their payment information remains accurate and current.
27. Annual Membership Pricing
Monthly membership pricing is designed to remain consistent throughout the calendar year.
Rather than charging only during months in which classes are held, Love Love Racquet Club calculates membership fees by:
determining the total number of instructional weeks offered during the year;
multiplying those weeks by the applicable weekly class fee; and
dividing that annual amount into twelve equal monthly payments.
As a result:
Monthly payments remain the same throughout the year.
Payments continue during holidays, scheduled breaks, and other periods when regular weekly classes are not in session.
Participants are paying for an annual coaching program through equal monthly installments rather than paying only for classes occurring during a specific month.
28. Membership Renewals
Memberships automatically renew each month unless canceled in accordance with the Membership Cancellation Policy.
No action is required by members to continue their membership.
29. Club Cancellations
If Love Love Racquet Club cancels a scheduled membership class for operational reasons, including weather, coach availability, or other circumstances, participants will generally be permitted to attend another available class, subject to availability.
Replacement classes:
are subject to available space;
are not guaranteed to be with the same coach;
may occur on different days or times than the original class.
30. Membership Cancellations
Members may cancel their membership at any time by submitting a written cancellation request via email to:
Cancellation requests become effective after the required notice period has been satisfied.
Memberships may not be canceled verbally with coaches during classes.
31. Notice Period
Love Love Racquet Club requires thirty (30) days' written notice to cancel a membership.
Membership payments that fall within the notice period remain payable.
Access to membership benefits continues until the cancellation becomes effective.
32. Membership Refund Policy
Membership fees are generally non-refundable.
Monthly membership payments secure a participant's place within the Club's coaching program and support the ongoing operation of scheduled classes, coaching staff, and facilities. For this reason, refunds are not provided for:
voluntary membership cancellations;
non-attendance;
unused classes;
temporary absences;
vacations;
illness; or
other participant-related circumstances.
Where Love Love Racquet Club cancels a scheduled class, the Club will generally offer participants the opportunity to attend another available class in accordance with the Memberships & Subscriptions section of these Terms.
Nothing in this section limits any rights or remedies that cannot be excluded under applicable law.
33. Membership Freezes
Membership freezes or temporary suspensions are not offered.
Members wishing to discontinue participation must follow the standard cancellation procedure.
34. Failed Membership Payments
If an automatic membership payment cannot be processed:
the participant will receive an online invoice;
payment is expected by the end of that calendar day;
membership privileges may be suspended until payment has been received.
Repeated failed payments may result in cancellation of the membership at the Club's discretion.
35. Membership Price Changes
Love Love Racquet Club reserves the right to adjust membership pricing when reasonably necessary.
Members will receive at least fourteen (14) days' written notice by email before any membership price increase becomes effective.
Continued participation after the effective date constitutes acceptance of the revised membership pricing.
36. Non-Transferability
Memberships are issued to individual participants only.

transferred;
assigned;
shared; or
exchanged between participants.
The Club reserves the right to verify participant identity where reasonably necessary.

a parent or legal guardian;

the participant will remain under the supervision of a coach until collected;
Love Love Racquet Club may charge reasonable additional fees to cover extended supervision.

location.
44. Participant Conduct
All participants are expected to:
follow coach instructions;
demonstrate respectful behavior;
care for Club equipment;
treat fellow participants with kindness and sportsmanship.
Unsafe, disruptive, abusive, or inappropriate behavior may result in removal from camp without refund where reasonably necessary to protect other participants or staff.
45. Medical & Emergency Information
Parents or guardians must provide current emergency contact information and disclose any relevant medical conditions, allergies, medications, or behavioral considerations before camp begins.
Failure to provide accurate information may limit the Club's ability to safely supervise or assist participants.
46. Emergency Medical Treatment Authorization
The health and safety of all participants is our highest priority.
By registering a child for a Love Love Racquet Club holiday camp, the participant's parent or legal guardian authorizes Love Love Racquet Club staff to seek appropriate emergency medical treatment if:
a medical emergency arises during camp;
the parent or emergency contact cannot be reached within a reasonable time; and
immediate medical attention is considered necessary to protect the participant's health or safety.
Where reasonably possible, Love Love Racquet Club will make every effort to contact the participant's parent, guardian, or emergency contact before any treatment is authorized.
Parents and guardians remain responsible for ensuring that all emergency contact details, medical information, allergies, medications, and other relevant health information provided to the Club are accurate and kept up to date.
Any medical costs incurred as a result of emergency treatment remain the responsibility of the participant or their parent or guardian, except where otherwise required by law.

47. Lesson Bookings
Private (1:1) lessons are scheduled directly with the assigned coach.

The Club reserves the right to decline or reschedule booking requests where reasonably necessary.

Although every effort will be made to accommodate preferred dates and times, Love Love Racquet Club cannot guarantee specific recurring lesson times unless separately agreed.
49. Participant Cancellations
Participants may cancel or reschedule a private lesson by providing at least twenty-four (24) hours' notice.
Cancellation requests made with less than twenty-four (24) hours' notice are considered late cancellations.
50. Late Cancellations & No-Shows
Late cancellations and participant no-shows result in the lesson being forfeited.
No refund, credit, or replacement lesson will automatically be provided.
The Club may make exceptions in extraordinary circumstances at its sole discretion, but no participant should expect an exception to be made.
51. Coach Cancellations
If Love Love Racquet Club or the assigned coach must cancel a scheduled lesson, the participant will be offered a rescheduled lesson.
Every reasonable effort will be made to reschedule the lesson at a mutually convenient time.
52. Monthly 1:1 Coaching Membership
Love Love Racquet Club offers a recurring monthly private coaching membership.
The monthly membership is governed by the Membership & Subscription policies contained within this Rulebook, including:
recurring monthly billing;
automatic renewal;
cancellation procedures;
payment requirements; and
applicable notice periods.
Where a conflict exists between this section and the Membership section, the Membership section shall govern recurring private coaching subscriptions.
53. Lesson Packages
Love Love Racquet Club does not currently offer prepaid lesson packages.
If lesson packages are introduced in the future, additional terms may apply.
SECTION 7 — COMPETITIONS & EVENTS
54. Eligibility
Competitions and events organized by Love Love Racquet Club are generally open to all eligible participants.
Where participant numbers are limited, current Love Love Racquet Club members receive priority registration before remaining places are made available to non-members.
The Club reserves the right to establish eligibility requirements for specific events, including age, ability level, experience, or other reasonable criteria.
55. Registration & Payment
Competition and event registrations are accepted subject to availability.
All event fees are collected through Stripe.

match formats;
venues;
