1. Policy Statement

Love Love Racquet Club is committed to providing a safe, positive, and enjoyable environment for every child participating in our tennis programs. The welfare of children is our highest priority, and we expect everyone associated with our club to share responsibility for creating a culture where children feel safe, respected, and supported.

This policy establishes the standards and expectations for child protection throughout all Love Love Racquet Club activities.

2. Scope

This policy applies to:

  • Independent contractor coaches

  • Staff and volunteers (if engaged)

  • Parents and guardians

  • Participants

  • Visitors attending club activities

This policy applies to all tennis lessons, camps, tournaments, clinics, and other club-sponsored activities involving children.

3. Our Commitment

Love Love Racquet Club is committed to:

  • Promoting the safety and wellbeing of every child.

  • Treating all children fairly, with dignity and respect.

  • Providing an inclusive environment free from discrimination, bullying, harassment, and abuse.

  • Taking all safeguarding concerns seriously.

  • Responding promptly and appropriately to reported concerns.

  • Encouraging open communication between coaches, parents, and participants.

4. Child Protection Lead

The designated Child Protection Lead for Love Love Racquet Club is:

The Child Protection Lead is responsible for:

  • Receiving reports of safeguarding concerns.

  • Maintaining confidential safeguarding records.

  • Coordinating appropriate responses.

  • Supporting coaches and families where appropriate.

  • Reviewing this policy periodically.

5. Safer Recruitment

Love Love Racquet Club is committed to engaging coaches who meet appropriate child protection standards.

All independent contractor coaches are expected to:

  • Successfully complete the USTA SafePlay background screening requirements.

  • Complete USTA SafePlay child protection training.

  • Maintain required SafePlay credentials as required by the program.

  • Comply with this Child Protection & Safeguarding Policy.

  • Follow the club's Code of Conduct at all times.

6. Coach Conduct Expectations

Coaches are expected to:

  • Place the welfare of children first.

  • Maintain professional boundaries.

  • Treat every participant with dignity and respect.

  • Use positive and age-appropriate coaching methods.

  • Never use humiliating, abusive, intimidating, or discriminatory behavior.

  • Never engage in inappropriate physical or verbal conduct.

  • Report concerns immediately.

  • Act as positive role models both on and off the court.

7. One-to-One Coaching

Love Love Racquet Club recognizes that individual tennis lessons are often an important part of player development.

To promote transparency and child safety:

  • Parents and guardians are always welcome to observe lessons.

  • Lessons should be conducted in open, visible environments whenever possible.

  • Coaches should avoid unnecessary situations where they are isolated with a child.

  • Coaches should maintain professional boundaries at all times.

8. Communication & Digital Safety

Communication regarding junior participants will occur through parents or guardians.

Love Love Racquet Club:

  • Uses email and SMS for communication.

  • Does not permit private direct messaging between coaches and children.

  • Encourages communication that is professional, transparent, and related only to club activities.

9. Photography & Video

Photographs and videos may be taken during club activities for purposes including:

  • Club website

  • Social media

  • Marketing and promotional materials

Parents and guardians may opt out of photography or video consent at any time.

Coaches and staff should ensure images are respectful, appropriate, and used only for legitimate club purposes.

10. Camps & Tournaments

This policy applies to all camps and tournaments organized by Love Love Racquet Club.

Additional supervision may be implemented depending on the size and nature of each event.

Children remain the responsibility of their parents or guardians outside scheduled supervised activities unless otherwise communicated.

11. Transportation

Love Love Racquet Club coaches do not transport children as part of club activities.

Parents and guardians are responsible for arranging transportation to and from all programs.

12. Drop-Off & Pick-Up Procedures

Parents and guardians are responsible for:

  • Supervising children until the coach begins the scheduled activity.

  • Collecting children promptly when activities conclude.

If a child has not been collected:

  • A coach will remain with the child until the parent or guardian arrives.

  • Coaches will make reasonable efforts to contact the parent or guardian.

  • Children will never be left unsupervised.

13. Medical Information & Emergencies

Emergency contact information and relevant medical information are maintained securely within the club's management system.

In the event of a medical emergency:

  • Coaches will assess the situation.

  • Emergency services (911) will be contacted when appropriate.

  • Coaches will provide assistance within the scope of their training.

  • Parents or guardians will be notified as soon as practical.

  • An incident record will be completed following the event.

Activities may be paused or cancelled if necessary to protect participant safety.

14. Responding to Child Protection Concerns

Everyone involved with Love Love Racquet Club shares responsibility for protecting children.

Anyone with concerns about a child's welfare should report those concerns immediately.

If a child discloses abuse or harm, coaches should:

  • Stay calm and listen carefully.

  • Reassure the child they have done the right thing by speaking up.

  • Avoid asking leading or investigative questions.

  • Never promise complete confidentiality.

  • Record the information accurately as soon as practical.

  • Report the concern immediately to the Child Protection Lead.

If a child appears to be in immediate danger, emergency services (911) should be contacted without delay.

15. Reporting Procedures

Safeguarding concerns should be reported to:

If the concern involves the Child Protection Lead or immediate action is required to protect a child, concerns should be reported directly to emergency services or the appropriate child protection authorities.

Love Love Racquet Club will treat all concerns seriously and respond promptly.

16. Confidentiality

Information relating to child protection concerns will be handled confidentially.

Information will only be shared with individuals who need the information in order to protect a child or respond appropriately to a safeguarding concern.

Coaches and staff should never promise absolute confidentiality where a child's safety may be at risk.

17. Record Keeping

Child protection records will be:

  • Stored securely in digital format.

  • Accessible only to Nate Gross, Owner and Child Protection Lead.

  • Maintained confidentially.

  • Retained for as long as reasonably necessary and in accordance with applicable legal, insurance, and organizational requirements.

18. Training

Love Love Racquet Club supports ongoing child protection education.

Independent contractor coaches are expected to:

  • Maintain current USTA SafePlay requirements.

  • Complete refresher training as required by the USTA SafePlay program.

  • Remain familiar with this policy and the club's Code of Conduct.

19. Policy Review

This policy will be reviewed:

  • At least annually.

  • Following any significant safeguarding incident.

  • Following changes to club operations or governing body guidance.
